Privacy Policy
Last updated: October 6, 2026virsva is a product of DulyHandled LLC ("DulyHandled," "we," "us"). This policy explains what information we collect when you use virsva, how we use it, who we share it with, and the choices you have. It covers the virsva.com website, the virsva web app, the Company Assistant numbers we operate for contractors, and website forms we run for contractors.
1. Who this policy is about
- Contractors: the businesses that use virsva, and the people who sign in on their behalf.
- Contractors' contacts: homeowners, customers, crew, subcontractors, and vendors who communicate with a contractor through virsva.
- Website visitors: people who visit virsva.com, or submit a form on a contractor's website that virsva runs.
When we handle a contractor's contacts' information, we do it to provide the service to that contractor. The contractor decides who to communicate with and is responsible for its own relationship with those people.
2. Information we collect
Account information
- Name, company name, email address, and phone number.
- Password, stored only as a one-way hash. If you sign in with Google, we receive your name and email from Google.
- Your Company Assistant number and account settings.
- Billing information, when applicable, is handled by our payment processor. We don't store full card numbers.
Contacts
- Information a contractor adds about a contact: name, phone number, optional email, role (for example client, crew, or vendor), and preferred language.
- Whether a contact has opted out of texts.
Communications
- The content of texts and multimedia messages (SMS/MMS) sent and received through a Company Assistant number, including photos and voice notes.
- Communications metadata: phone numbers, timestamps, direction, and delivery status.
- If call features are enabled on an account: call metadata and, where enabled and permitted by law, call recordings and transcripts.
- AI-generated output from the above, such as transcripts, translations, summaries, and drafts.
Media and documents
- Photos, documents, and notes sent to the assistant.
- If a contractor connects Google Drive, we save notes to a folder in the contractor's own Drive. We request access only to files virsva creates.
Website forms we run for contractors
- What a person enters in a contractor's contact or estimate form, such as name, contact details, address, and project details.
- How they arrived at the form, such as the referring page and campaign tags.
Technical information
- For the web app: IP address, browser and device type, and session data, used to keep you signed in and prevent abuse.
- virsva.com doesn't use advertising or cross-site tracking cookies.
- The request form on virsva.com uses Cloudflare Turnstile to block automated spam. Cloudflare processes technical signals such as your IP address and browser characteristics for that purpose, under its own privacy policy. It does not set advertising or tracking cookies.
3. How we use information
- To provide virsva: deliver messages, keep conversation history, organize communications by customer and project, and notify contractors of new leads.
- To produce AI output the contractor asks for, such as transcripts, translations, summaries, and drafts.
- To secure accounts, prevent misuse, and diagnose problems.
- To respond to support requests and send service notices.
- To comply with law and with mobile carrier messaging rules.
We don't sell personal information. We don't use communications content for advertising, and we don't use one contractor's data to serve another contractor.
4. AI processing
Some features send content to AI service providers. For example, voice-note audio goes to a speech-to-text provider, and message text goes to a language-model provider for translation, summaries, or drafts. Providers process this content to return results to us.
AI output can be wrong. It's kept alongside the original messages and documents, not in place of them, and messages sent in a contractor's name wait for the contractor's approval.
5. SMS messaging
virsva may text contractors about account setup, service updates, onboarding, and other service-related information. Consent to receive these texts is optional and is never required to request access or use the service. You opt in only by checking the optional SMS consent box at virsva.com/get-started, or by texting our number first.
Once a contractor is set up, their Company Assistant number may also be used to coordinate with the contractor's own business contacts (clients, crew, vendors) as part of normal project communication. Contractors must get each contact's permission before adding them. See our Terms of Service.
Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time (STOPALL, OPTOUT, CANCEL, END, QUIT, UNSUBSCRIBE, and REVOKE also work), and START to resubscribe. Reply HELP for help, or email support@virsva.com. Wireless carriers are not liable for delayed or undelivered messages.
Mobile phone numbers and SMS opt-in data are never shared with third parties or affiliates for marketing or promotional purposes.
6. Who we share information with
We share information only as needed to run the service:
- The contractor. Communications with a contractor's Company Assistant number, and submissions to their website forms, are available to that contractor.
- Service providers that process data for us: messaging and voice carriers, speech-to-text and language-model providers, cloud hosting and database providers, and email delivery providers.
- Legal and safety. When required by law, or to protect the rights and safety of people or the service.
- Business transfers. If DulyHandled LLC is involved in a merger, acquisition, or sale of assets, subject to this policy.
We may change providers over time. Contact us for the current list.
7. Data retention
- Account information is kept while the account is active, and for up to twelve months after it closes for legal and audit purposes.
- Communications and project records are kept while the account is active, so the contractor has a complete history. Contractors can ask us to delete specific records, or to export their data when they leave.
- Voice-note audio is not kept on our servers after the transcript is produced. Providers may keep data under their own retention policies.
- Opt-out records are kept indefinitely so that opted-out numbers aren't texted again.
8. Security
We use reasonable safeguards, including encryption in transit, hashed passwords, per-contractor data isolation, audit logging of access to personal information, and encrypted storage of connected account credentials. No system is perfectly secure, and we can't guarantee absolute security.
9. Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or get a copy of your personal information, and to opt out of texts. Email privacy@virsva.com and we'll respond within a reasonable time, typically 30 days.
If you're a contractor's customer or contact, you can also contact that contractor directly. We may need to work with them to handle your request.
10. Children
virsva is for business use and isn't directed at anyone under 18. We don't knowingly collect information from children. If you think a child has given us information, contact us and we'll delete it.
11. Where data is processed
virsva is operated in the United States, and information is processed and stored in the U.S.
12. Changes to this policy
We'll update this page when our practices change and revise the date above. For material changes, we'll also notify account holders by email or in the app.
